Ivybridge Walking Club AGM 26th March 2023

Minutes of meeting

Chairperson welcomed all to the meeting.

The Chairperson read through the minutes of the 2022 AGM - all agreed on the accurate content with a proposal to adopt seconded by Debbie

Matters arising from 2022 minutes. The discussion last year concerning the late cancellation of a walk was raised. However the Chairperson pointed to 10B on the days agenda

Suzy did raise at this point the need for all participating walkers to carry full personal details of who to contact in an emergency plus any underlying health issues

Chairperson’s report

David thanked everyone for producing another successful year for the Club.

Thanks are due to Des for setting up the AGM venue.

Treasurer’s report.

In the absence of Alan David read out the headlines. At the most our account held £900. Subsequent expenses like Christmas Meal subsidy, New Year ferry, Website, Insurance reduced the value to some £400. Thanks to Debbie for collecting Subs today

Walk Coordinator’s report.

Tim encouraged members to offer walks on the form he provided. Amanda asked Walk Leaders to submit details as early as possible.

Secretary’s report.

Jan thanked all Club members for their participation in Club events. The Ship Inn Christmas Lunch was particularly successful with money raised for charity. Rona mentioned a play of potentially interest to members in April.

IT report.

Mandy will edit Walk Leader Walk submissions so as to uniform the wordage and direction inclusive of GPS coordinates

Election of Officers.

All existing Committee members were voted to retain their current role

Business matters.

The proposal to retain the Club Subscription to £10 was agreed and seconded by Tim

Last minute changes to walks. Whilst rare a proposal was put forward to form a WhatsApp Group exclusively to inform members of any very last minute changes to an imminent walk. This would entail all members submitting a mobile phone number to Tim. It was left unclear as to how many members would participate in this with the obvious difficulty if not every member did. Jan R suggested using the Walk Diary as the indicator of such a rare event. Members wishing to join the IWC ‘last minute changes’ WhatsApp group need to submit their mobile number to Tim.

Car Sharing is always encouraged so as to limit vehicle miles and parking problems at the start point of walks.

AOB - The Chairperson ran through a few points.

i) Arriving at our 10am Walk start time is essential. Walkers should arrive in good time to be ready for the start/briefing.

ii) It is always the Walk Leader who takes decisions en route should changes be necessary. In medical or other emergencies suitable action should be taken by the leader and walking group. Be that an unexpected deterioration in weather or sickness of a walker. A prudent Walk Leader will have noted opportunities to shorten their walk during their recce.

iii) Any walker or walkers needing to leave an ongoing Walk must report this to the Leader. While early departure is to be discouraged, all those who leave on this basis do so at their own risk.

iv) Other potential advice for new members, people setting up walks, and walk leaders will be considered by the committee and added to our web site as appropriate.
